Separate operator cancellation from member absence
Synthetic rule: operator cancellation returns one eligible held session per confirmed booking, removes unresolved attendance and cancels future reminders. Already-cancelled bookings keep their previous outcome. Financial refunds and replacement-session promises require separate policies and are outside this example.
| Booking | Before closure | Entitlement action | Reminder action |
|---|---|---|---|
| B-O1 | Confirmed; 1 held | Return 1 | Cancel queued reminder |
| B-O2 | Confirmed; 1 held | Return 1 | Cancellation notice required |
| B-O3 | Member cancelled; already returned | No new return | No new booking reminder |
Close the session and reconcile its bookings
- Mark the session cancelled and capture the affected booking list.
- Apply the operator-cancellation rule to eligible bookings and record adjustment references.
- Cancel pending reminders and record cancellation notice outcomes.
If attendance or consumption was already finalised, review those entries before adjustment rather than blindly returning a held session that no longer exists.
How many sessions return for B-O1 to B-O3?
Show the worked answer
Two new returns. B-O3 has already received its return and adds zero.
An incomplete notice does not reopen the session. Keep communication work visible separately from the completed cancellation.
