Approve a supplier item code before using it at receiving

Map an external code to a checked internal item and keep unresolved lookalikes out of automatic receipt.

Compare identity evidence beyond the description

Supplier V-A uses sleeve code SX9 for the internal item SL-B. This sample mapping requires matching colour, dimensions and pack unit against an approved sample record. A similar description for SX9R does not satisfy those checks. This is a local item-identification rule, not a universal catalogue standard.

Scope the mapping to the supplier and revision

  1. Collect supplier code and sample evidence
  2. Compare required attributes
  3. Approve internal target and unit
  4. Record supplier-specific mapping
  5. Test one receiving line

A new supplier or changed attribute returns the mapping to review; a text match must not silently inherit approval.

The output is MAP-A for V-A/SX9 to SL-B in each units. Preserve the checked sample reference and the mapping revision used by a receipt. Do not use the alias to merge historical item records or to infer a carton conversion; those would require separate decisions.

Can a V-B delivery marked SX9 be automatically received as SL-B?

Show the worked answer

No. Only V-A/SX9 is approved. Hold the V-B line for identity review; code equality across suppliers is insufficient.
