Prepare the purchasing decision
Synthetic A-P approves V-P, specification S-P2 and eight units. Draft P-P uses V-P and eight units but S-P1. None of the purchase documents has been issued. All three fields must match before actual release, and the buyer records the released revision afterward. The example does not alter an already placed order.
| Field | Approved input | Prepared draft | Release check |
|---|---|---|---|
| Supplier | V-P | V-P | Matches |
| Specification | S-P2 | S-P1 | Mismatch; hold |
| Quantity | 8 | 8 | Matches |
Complete the recorded outcome
- Locate the approved request snapshot.
- Compare each controlled field with the prepared PO.
- Correct the draft, verify current authority and record actual release separately.
A specification mismatch cannot be treated as a formatting correction merely because the quantity agrees.
The buyer fixes S-P1 to S-P2. Has the PO now been issued?
Show the worked answer
No. The content now passes these field checks, but actual release still needs its own record and remaining conditions.
The released PO and the approval remain different records, allowing later matching to identify the document actually sent.
