Carry a credit after a paid bill without inventing a cash refund

Keep issued adjustment, retained receipt and next disposition separate.

Records and local rule

Original register has bill 500 and confirmed payment 500. An issued non-return credit of 100 reduces the bill to 400. Local policy holds the resulting excess as customer credit pending an authorised use or refund decision. No cash refund has occurred.

Process the recorded case

  1. Link issued adjustment to bill
  2. Preserve confirmed payment evidence
  3. Record excess customer credit
  4. Seek a separate credit-use or refund decision

A credit document cannot by itself prove that money has left the company.

What excess is awaiting disposition?

Show the worked answer

500−(500−100)=100. Confirmed receipt remains 500, net bill is 400 and customer credit is 100; cash refund remains unrecorded.
