Hold a purchase request with an incomplete item specification

Keep a missing requirement separate from a supplier’s assumed equivalent.

Prepare the purchasing decision

Synthetic request R-21 needs ten panels. Purchase release requires confirmed dimensions and finish. Width 300 mm is known, length is missing and matte finish is confirmed. A supplier’s 300 × 600 gloss proposal does not fill the missing length or override matte. Record the actual unresolved requirement before seeking a purchase decision.

Complete the recorded outcome

  1. Read the confirmed specification fields.
  2. Separate missing fields from conflicting proposals.
  3. Obtain the missing decision and a conforming offer before release.

A sample is evidence only for the properties actually checked; its label does not approve every dimension.

The requester confirms 600 mm length. Is the gloss proposal now ready?

Show the worked answer

No. Length is resolved but the confirmed matte requirement still conflicts with gloss.

These dimensions are fictional. A specification review does not certify product quality or establish supplier capability.
