Have you chosen one task with a clear start and finish?

Pick a task such as classifying enquiries or preparing an invoice record, rather than “use AI across the business”.

Can you supply realistic inputs and examples of correct outputs?

Collect normal cases and awkward exceptions. Remove information the pilot does not need.

Do you know where the required information is and who may access it?

Identify the source documents or systems and assign an owner to approve access.

Have you identified information that must not be sent to an AI provider?

Review the data categories and provider arrangement before connecting real records.

Are the assistant’s allowed actions and approval rules defined?

Separate reading and drafting from actions that change records, publish content or move money.

Is someone responsible for reviewing uncertain or failed cases?

Name an owner and define how they receive the source information and attempted result.

Can you measure the current process and define an acceptable result?

Measure time, error rate or response quality first; decide what change would justify the cost.

Is there a budget for setup, testing and ongoing usage?

Include model usage, hosting, staff review and maintenance as well as development.

Have you checked how the workflow connects to your existing tools?

Confirm supported APIs, exports or other access options before promising automatic updates.

Can you run a limited pilot and stop it if the result is unsuitable?

Agree the users, test cases, cost limit and decision point for continuing or stopping.
